Sharing with your care team

What sharing means
Holimo’s care team lets you invite a professional you already work with, such as a dietitian, nutritionist, personal trainer or health coach, to see some of what you log. It is your choice, it is off until you start it, and it is only for adults.
Your professional uses a separate website, the Holimo professional portal. They see only the areas you choose, only from the date you choose, and only while you keep sharing. They can also message you, and you can message them.
To connect, your Holimo account needs to be linked to an email address, Apple or Google, so your connection and its history are safe if you change phones.
Holimo isn’t a healthcare provider, and the care team isn’t for emergencies. If you feel very unwell or are thinking about harming yourself, call your local emergency number or see crisis resources.
Who you can connect with
Before a professional can connect with anyone, our team checks their details. You see what we checked on their card:

Checking someone’s details isn’t the same as checking their advice. Professionals are independent: they are not Holimo employees, and they are responsible for the advice they give you.
How to start
In the app, go to Settings → Care team. There are two ways to connect:
- Invite a professional: choose what to share, then send them a code or link through your phone’s share sheet (for example by email or WhatsApp). When they accept, you check their name, profession and register, and confirm.
- I have a code: if your professional gave you a code, enter it. You see who they are and what they suggest you share, and you decide.
Either way, nothing is shared until you have seen exactly who the professional is and ticked the box to agree to share with them. Holimo never sends invites to an email address on your behalf.
What you can share
You choose each area separately. Medication and mood are never ticked for you, and a professional’s invite can’t suggest them.

If you sync with Apple Health or Health Connect, entries Holimo imported from there are included in the areas you share. The app tells you this before you agree.
How far back
You also choose how much history they can see: from today, the last 30 days (the default), the last 90 days, or all of it. They can’t see anything from before that date. You can also set a date for sharing to end by itself.
You can turn an area off at any time, and it stops at once. Turning an area on asks for your agreement again.
What professionals can never see
Whatever you choose, these are never shared with a professional:
- your journal and your cycle data, which are encrypted on your phone;
- your name, email address, account ID and date of birth (they see your age and the name you choose to show them);
- whether you’ve marked yourself pregnant or breastfeeding, and whether you track your cycle;
- any note you write, such as medication, dose and side-effect notes, or focus labels;
- your progress photos and your AI coach chats;
- your consents, devices, usage statistics, subscription and payments;
- your family plan, reminders, streaks and badges.
They also can’t see anything from before your chosen start date, or anything after the connection ends.
Messages, photos, check-ins and bookings
- Messages: you and your professional can write to each other. A message marked “Plan suggestion” is their suggestion; Holimo doesn’t check it. Please don’t use messages for emergencies.
- Photos: you can attach a photo to a message, for example of a meal. Only you choose to send a photo; your progress photos are never shared. Location, camera and time details are removed from the photo on your phone, and again on our server, before anyone sees it.
- Check-ins: your professional can ask you a few regular questions, such as how your week went. Your answers go only to them.
- Bookings: your professional can add an appointment with a video link. The call happens in their or your own video service, such as Google Meet or Zoom, not in Holimo. Holimo stores the time and the link, never the call itself, and that service’s own terms and privacy policy apply.
- Reporting: if a message is abusive, spam or unsafe, press and hold it and choose Report. Our team will read that one message and decide what to do, which can include ending the connection or pausing the professional.
Your access history
Every time someone you share with opens your data, it is recorded and shows in Settings → Care team → Access history, grouped by day: who looked, at which areas, and how many times.

Stopping sharing
Go to Settings → Care team, open the connection and tap Stop sharing. Their access ends straight away. It is as easy to stop as it was to start.
- Holimo deletes your messages, check-ins and bookings with them, and their private Holimo notes about you, 90 days after the connection ends. Until then you can still read the messages, and nothing new is shared.
- We keep the record of what you agreed to and the access history for 2 years, so we can show who saw what and when. They contain no health values.
- Your professional may have kept their own records outside Holimo, as their profession may require. Holimo can’t delete those; ask them directly.
A connection also ends if your professional ends it, if the end date you set passes, or if Holimo ends it, for example after a report. If our team pauses a professional while we look into something, they can’t see your data and you see “Paused by Holimo”.
When our team can see your data
Normally, nobody on the Holimo team sees your health logs. Our support team sees account details, such as your email and plan, and totals that don’t identify anyone.
There is one exception, which we call break-glass access. It is used only for a support or safety case, for example when you ask us to look at a food log that shows nothing, or when there is a credible report that someone may be at risk. Then:
- only the owner, or a team member the owner has specifically allowed, can open it, and they must write down the reason;
- they open only the areas the case needs, for up to an hour, and can’t download or export anything;
- every view is recorded permanently, and every session is reviewed afterwards by someone else;
- your journal and cycle data can never be opened this way.
We normally tell you straight away, in your access history and by email. In rare cases, such as when the law forbids it for a time or telling you could put someone at risk, we may tell you later instead. We set a date to tell you, no more than a year later, and we never keep it from you for good. Where the law says we must tell you at once, we do. Your access requests include this history.
